Publishing Rules and Procedures
Rules for the Publisher
- The IS PAN Publishing House publishes peer-reviewed scholarly monographs in the humanities, in particular in the field of art studies, that make a significant contribution to the development of Polish humanities.
- The decision to include a proposal in the publishing plan is taken by the Management of IS PAN on the basis of the opinion of the Publishing Committee, which is composed of specialists in the relevant discipline. The Committee evaluates the subject matter, scholarly value, originality, and relevance to the academic community. If the opinion is positive, the Committee appoints reviewers in such a way as to ensure a fully impartial assessment of the submitted monograph.
- The Publishing House applies uniform standards for the qualification of scholarly monographs for publication, ensuring equal treatment of all authors and actively preventing all forms of discrimination.
- The Publishing House undertakes to provide a reliable and professional publishing process, including the editorial process.
- The Publishing House undertakes to guarantee the confidentiality and security of personal data processing.
- The Publishing House undertakes to safeguard the confidentiality and anonymity of the peer-review process. Information concerning submitted texts is provided only to authors, reviewers, or designated experts.
- The Publishing House is obliged to respond appropriately—consistent with COPE guidelines and the Code of Ethics for Academic Employees—to any instances of authorial, editorial, or reviewer misconduct. The first step is always to request clarification.
- The Publishing House is obliged to prevent conflicts of interest involving authors, reviewers, and scholarly editors.
- The Publishing House shall make every effort to prevent plagiarism and the publication of falsified data, and in particular to counteract the phenomena of ghostwriting (omission of contributors who took part in creating the work) and guest authorship (attribution of authorship to persons who did not contribute to the work).
- To maintain scholarly integrity, and in accordance with the recommendations of the Ministry of Science and Higher Education, all cases of ghostwriting, guest authorship, plagiarism, or self-plagiarism detected by the Publishing House will be disclosed, and information on such cases will be reported to the appropriate bodies (Good Practices in Review Procedures in Science, Ministry of Science and Higher Education, Warsaw 2011).
- The Publishing House reserves the right to retract a publication after release if there is evidence of unreliable results and/or data falsification, as well as in the case of unintentional errors by the author (e.g. methodological errors), or if the work bears signs of plagiarism or otherwise breaches publishing ethics.
Rules for Authors
- Authors are obliged to submit original works, which may not in any part constitute plagiarism or self-plagiarism (whether in whole or in part, or through the republication of books already published or submitted for publication elsewhere).
- Authors guarantee that the copyright assigned to the Publishing House is not encumbered by the rights of third parties, and that the use and dissemination of the work by the Publishing House will not infringe upon the personal or legal rights of third parties.
- In the case of collective works, the submitting author must clearly indicate the authorship of the individual parts of the work.
- Authors are obliged to disclose information on sources of funding and the contributions of research institutions, non-governmental organizations, or other entities.
- Submission of a text for publication constitutes the author’s consent to the peer-review procedure.
- Authors are obliged to cooperate with the Publishing House during the preparation process, including responding to comments from reviewers and editors and making the necessary corrections.
- If authors discover errors or breaches of scholarly integrity or ethical standards in a submitted text, they are obliged to notify the publisher without delay.
Rules for Reviewers
- Reviewers are obliged to deliver reviews within the agreed timeframe. If unable to meet the deadline or undertake the review, they must immediately inform the publisher.
- Reviewers must promptly notify the editorial board if they identify a potential conflict of interest in evaluating a text.
- Reviewers are obliged to strictly maintain confidentiality throughout the entire review process.
- Reviews must be objective, free from personal bias or subjective remarks. Their purpose is to support authors in improving their work, and they should include clear and precise justification.
- Reviewers should indicate where references or bibliographic information are missing and, where possible, inform the editorial board about similarities between the submitted text and other published works.
- Reviewers may not use the reviewed text for purposes other than the review itself. Information and ideas obtained during the review process are confidential and may not be used by reviewers for personal benefit.
Rules for Scholarly Editors
- For collective works, the scholarly editor is responsible for the selection of texts and for maintaining contact with the individual authors.
- In selecting texts, the scholarly editor is guided by scholarly value, originality, and relevance to the academic community.
- In the event of evidence of dishonest practices (e.g. plagiarism or falsification of research results) or unintentional errors by the author, the scholarly editor must withdraw the text from the collective publication.
- The scholarly editor is obliged to ensure that all co-authors approve the final version of the work following scholarly editing.
Review Rules for Monographs and Publishing Procedure
- Acceptance of a text for publication is preceded by the signing of a publishing agreement, in which the author undertakes to submit an original work written in accordance with the principles of publication ethics, particularly in line with COPE guidelines.
- All texts submitted by authors and accepted by IS PAN management are subject to peer review.
- Each book receives two reviews. Defended doctoral dissertations and books presenting the results of peer-reviewed grants require one publisher’s review.
- Texts are assigned to reviewers who are reliable, suitably competent in the relevant field, hold a habilitation degree or professorial title, and are not affiliated with the institution of the author.
- The Publishing House ensures that the review process is free from conflicts of interest or other circumstances that might undermine its credibility.
- All texts accepted for review are evaluated under conditions of strict confidentiality.
- In the event of reviewers’ objections, the publisher enables the author to respond and to make corrections in accordance with the reviewers’ recommendations.
- If both reviews are negative, the publisher has the right to reject the work. If one review is negative and the other positive, the publisher may request a third review.
- Reviewers’ names are published in the editorial section of the book only with their written consent.
- The review procedure is carried out in accordance with the recommendations of the Committee on Ethics in Science as presented in Good Practices in Review Procedures in Science (Ministry of Science and Higher Education, Warsaw 2011).
- After revisions by the author, the text undergoes the editorial process, which includes:
• substantive verification;
• language editing (substantive and linguistic editing carried out in MS Word with tracked changes);
• author’s proof (prior to typesetting, in .docx format);
• unification of style (abbreviations, references, footnotes, citations);
• verification of illustrative material (copyright clearance handled by the publisher);
• determination of page layout;
• cover design (in consultation with the author);
• typesetting;
• editorial proof after typesetting;
• author’s approval of the final version prior to printing;
• transfer of the approved materials to print.
Contacts for Reporting Concerns and Complaints
In the event of suspected irregularities concerning authorship, reviewing, or editing, the publication process in question will be suspended, and the relevant parties will be asked to provide clarification. Once obtained, the Publishing House will take a decision. Each stage of the inquiry will be carried out in accordance with COPE guidelines.
All complaints relating to breaches of publication ethics will be duly considered by the Publishing House. Objections should be submitted to the Publishing House of the Institute of Art of the Polish Academy of Sciences: wydawnictwo@ispan.pl. Depending on the nature of the problem, a written response from the Director of the Institute or from a representative of the Publishing House will be provided as soon as possible, but no later than two weeks.
